Program Manager

Job Description  

The focus of the Program Manager role is to lead the day-to-day operations of the Playroom after school program while providing the participants with a sense of belonging, building their social/emotional skills, and accommodating their intellectual and physical abilities. The Program Manager will work under the direction of the Executive Director, who has an ultimate responsibility to the Board of Directors.

Program & Playroom:

•       In collaboration with the Assistant Program Manager and volunteers, plan document, and execute monthly programming for the participants.

•       With the support of the Assistant Program Manager, the Program Manager will oversee monthly menu planning, and ensure it reflects the Canada Food Guide and meets the needs of the participants.

•       Ensure the cleanliness of the playroom, its supplies, and equipment is maintained daily, while also ensuring compliance with the requirement of Hastings Prince Edward County Health Unit/Ontario Ministry and Education and other applicable protocols.

•       Consistently finesse and develop the program accordingly to ensure continuous improvement and growth.

•       With the support of the Executive Director, help manage interactions with volunteers and parents throughout the year.

Administration:

• Develop and implement the children's intake process, including distribution, collection and documentation of intake packages, and provide parents with all the required program information.

•       Create and maintain a file for each girl in the program, including any relevant health and safety information supplied by the family or other approved support services.

•       Continuously review and update files with specific goals and strategies to support each girl.

•       Create a yearly/monthly/weekly program plan before program begins

•       Participate in weekly staff meetings to report on the progress of the participants, volunteer updates, programming, events, etc.

•       Draft content for seasonal newsletters to go out to donors, parents and partners

•       Reports to the Executive Director on weekly spending for approval within appropriate budget lines.

•       Responsible with the Executive Director for coordinating an external consultant for program evaluation at end of year.

•       Responsible for meeting with and interviewing applicant families and participants at the beginning of the program to monitor developmental checklists for each participant. Following up with families as needed throughout the year to understand each participant's progress through the program.

•       Other administrative duties that support the success of the program.

•       Managing petty cash and program purchases in coordination with the Executive Director.

•       Handling sensitive information and situations with discretion and professionalism

Human Resources:

•       Provide support and direction to the Assistant Program Manager and the volunteers during program hours, mentoring and modeling as appropriate. Ensure there are regular meetings/debriefs, communications, educational opportunities and appreciation events in collaboration with ED.

•       Responsible for volunteer recruitment and on-boarding, training and in-program management.

•       Together with the Assistant Program Manager and reporting to the ED, work with the Property Manager of The Andrew and the Reaching for Rainbows Cleaner to maintain a smooth operation of the space used by Reaching for Rainbows.

External Relations:

• Act as Reaching for Rainbows' main point of contact for program-related community partnerships.

• In collaboration with the Assistant Program Manager, maintain, train and support the volunteer pool to ensure enough volunteer help is available for each shift and the future needs of the program.

• Liaise with Reaching for Rainbows' two feeder schools, as well as Community Living Prince Edward, Children's Mental Health and the Children's Aid Society to select and facilitate the recruitment and registration of new participants. During this process, assess all of the children's information to determine the suitability of the participants for the program.

• Work with the ED to help build community partnerships and to increase public awareness of the organization in areas such as promotions, events, community outreach, newsletters, and social media as needed

• Support the ED to write the follow-up grant reports to capture the appropriate stewardship of their support.

• Communicate regularly through phone and email to keep parents and community partners apprised of program-related events and activities, as well as the future needs of the program.

Qualifications

A diploma/degree in Early Childhood Education, Child and Youth Work, Social Service Work, Personal/Developmental Support Worker or other related human services fields of work

·      2 years minimum Managerial/Supervisory experience

·      3-5 years experience working with children/youth

·      Will accept a combination of qualifications and experience

·      DEI/Trauma informed experience

·      Collaborative team player

·      Strong Communication Skills

·      Familiar with Microsoft Office Suite (Word, Excel, One Drive, Outlook) Canva and various online platforms like Zoom and Google Drive
